Use your company stamp on PDFs

The stamp is on your desk. The invoice is on your screen. Here's how to get one onto the other without a printer in between.

The stamp is the only reason you print

The invoice, the letter, the certificate — every one of them arrives as a PDF and has to leave as a PDF. You print it because a rubber stamp needs paper to land on, then scan the page back to send it. One physical step keeps a printer in the loop for every document that goes out.

So photograph the stamp instead of the document. Once the app knows what your stamp looks like and how wide it really is, it can draw it on any PDF at the size it would have printed.

Step 1 — Photograph your company stamp

Press one clean impression onto a sheet of white paper with nothing else on it, and photograph it from straight above in even light. If you would rather not move files between your phone and your computer, the app does that part for you: when it asks whether your stamp is ready as an image, choose No — use my phone, scan the code with your phone's camera, and the photo arrives in the app.

Step 2 — Add it and set its real size

Open the web app or the desktop app, click Add… in the stamps panel, and pick the photo. The paper is cut away as the image is read, so what you keep is the impression on its own, with nothing behind it. Name it, type its Real size on paper, and click Save stamp.

Measure the impression on the sheet, or take the size from whoever made the stamp. Most round company stamps are 38 or 40 mm across and a rectangular one is often around 50 × 20 mm. Millimetres are what the app keeps; switch to inches in Settings if those are the numbers you know.

Step 3 — Place it on the document

Open the PDF and drag the stamp from the panel onto the page. It lands at its real printed size: 38 mm is 38 mm on A4, on Letter, on a rotated plan. Move it, turn it by the handle above it, resize it, duplicate it, or use Apply to next pages when every page needs the same stamp. Nothing is final until you export.

Step 4 — Export the stamped copy

Click Save As… and you get a new PDF with the stamp drawn into the page — the original file stays untouched. File the stamped copy or send it on. It carries your own stamp, at the size the rubber one prints.

Is a photographed stamp a digital certificate?

No. Stamp Document puts the image of your real stamp on the page at its real size, the way the rubber one puts ink on paper. There are no certificates, no signing ceremonies and no counterparties to wait for. If what you need is a PDF that looks exactly like the one that came off your desk, that is what this does.
